MONTE MAR BOWLS AND SOCIAL CLUB
NOTICE OF EXTRAORDINARY GENERAL MEETING
To be held at Montemar on Thursday 18th March 2010 at 10.00 am.
The meeting is called for the purpose of: -
1)The appointment of five (5) members of the club to constitute the electoral committee. (These members must not be seeking election to the management committee.)
2) Ratification of changes in Committee Personnel which have occurred since the last election.
DUTIES OF THE ELECTORAL COMMITTEE and TIMESCALES
1)The committee will examine the Proposal Document for the nomination of fully paid up members seeking election to the Management committee.
2)The committee will examine the Proxy Vote Document.
3)Nominations will only be accepted when all particulars on the Proposal Document are completed in full. (Forms are available in the Shed and when completed should be placed in the Nominations Box e.g. box next to the Committee Office.) The closing date for nominations is
25th March 2010 at 6pm.
4)The committee will examine the Proposal Documents. They will then present to the Club Secretary on 26th March 2010 a full list of all correct nominations. This list will be displayed on the notice board for voting at the Annual General Meeting on 8th April 2010.
The officers and committee will be elected at the AGM by a secret vote on ballot papers (including those for proxy votes) distributed at the meeting. The chairman of the electoral committee will confirm the results to the Chairman.
